Privacy Policy

1. Introduction

This Privacy Statement explains how Talent Hive Limited (Talent Hive, we, us) collects, uses, discloses and protects personal information in connection with our recruitment and related services.  We are bound by the New Zealand Privacy Act 2020 and the Information Privacy Principles in that Act.

2. What information we collect

The types of personal information we may collect and hold about candidates include (but are not limited to):

  •       Name, address, contact details and occupation.
  •       Information disclosed in your application, CV, cover letter and other documents you provide.
  •       Information disclosed during interviews or other communications with us (for example, phone, video, email, messaging).
  •       Results of assessments relevant to a role (for example, skills, aptitude, psychological or medical assessments, where lawful and appropriate).
  •       References from your nominated referees.
  •       Criminal history or credit checks, where relevant to a role and permitted by law.
  •       Any other information you choose to provide and that is reasonably necessary for recruitment or related services.



We may also collect limited information about client contacts (such as name, role and contact details) in order to provide recruitment services.


3. How we collect information

We usually collect personal information directly from you, for example when you:

  •       Apply for a role through Talent Hive or a job board.
  •       Provide your CV or profile to us.
  •       Communicate with us by email, phone, video call, in person or online forms.


Where appropriate and with any required consent, we may also collect information from third parties, for example from:

  •       Your nominated referees.
  •       Background, criminal history or credit check providers, where lawful and relevant.
  •       Professional networking sites (such as LinkedIn) and publicly available sources where this is consistent with your expectations and the purpose        of recruitment.


If you do not provide information we reasonably request, we may not be able to consider you for certain roles.


4. Why we collect and use your information

We collect, use and disclose personal information to:

  •       Assess your suitability for roles and connect you with appropriate employment or contracting opportunities.
  •       Carry out background, reference, criminal history or credit checks where relevant and lawful.
  •       Share your details with potential employers or clients so they can assess your suitability for a role.
  •       Communicate with you about current and future roles or related services.
  •       Operate, manage and improve our recruitment business, including record‑keeping, reporting and quality assurance.


We will not use your personal information for other purposes unless:

  •       You authorise the use, or
  •       The use is required or permitted by law.


5. Use of artificial intelligence (AI)

We may use AI‑enabled tools to help us deliver and improve our recruitment services, for example to:

  • Assist with searching, sorting and matching CVs and profiles to relevant roles.
  • Draft or analyse role descriptions, communications and market insights. 


When we use AI tools in relation to your personal information:

  • We do so in line with the Privacy Act 2020 and the Information Privacy Principles. 
  • We limit the personal information used to what is reasonably necessary for the recruitment purpose. 
  • We take steps to protect your information against unauthorised access, use or disclosure, including when using third‑party tools or service                providers. 


We do not use AI to make final hiring decisions about you without human review.

We do not use your personal information to train external AI models unless we have clearly told you and obtained your consent or this is otherwise permitted by law. 



6.Disclosure of your information

We may disclose your personal information to:

  •       Potential and actual employers or clients, so they can assess your suitability for roles and manage recruitment and onboarding processes.
  •       Your nominated referees and other relevant third parties (such as background check providers) where required for recruitment purposes and          lawful.
  •       Our service providers (for example, IT, database, cloud hosting, communication and analytics providers) who support our operations and are            subject to confidentiality and data protection obligations.
  •       Regulators, law enforcement agencies or others where required or permitted by law.



Some of these recipients may be located outside New Zealand. Where we disclose personal information overseas, we will take reasonable steps to ensure it is protected by privacy safeguards that are comparable to those in New Zealand, or otherwise in accordance with the Privacy Act 2020 (including Information Privacy Principle 12).


7. Storage, security and retention

We take reasonable steps to keep personal information safe from misuse, loss and unauthorised access, modification or disclosure, including through physical, technical and organisational safeguards.

We retain personal information only for as long as it is needed for the purposes set out in this statement or as required by law. After that, we will take reasonable steps to securely destroy or anonymise it.


8. Accessing and correcting your information

You have the right to request access to the personal information we hold about you and to request correction of that information if you believe it is inaccurate, incomplete or out of date, subject to the limits set out in the Privacy Act 2020.

If you wish to access or correct your personal information, please contact us using the details below. We may need to verify your identity and, in some cases, we may be permitted to refuse your request (for example, where providing access would unreasonably impact the privacy of others); if we do so, we will explain why.
